Supplier module features.

RoomAllot Supplier module has virtually all features that a Hotelier or the Wholesaler would need in their day-to-day sales tasks and also assist in their marketing activities.

Online Contracting with Rates and Policies.

Online contracting allows Suppliers to offer their partners rates and access to shared allotment along with their booking and cancellation policies via the RoomAllot Tour Op module.

  • The flexibility to feed-in a base rate and mark-up either by percentage or a flat amount to create 10 different rate tiers. Rate tiers can be assigned for different Tour Op accounts in line with their performance, market, location.
  • Supports viewing of rates in any currency with 3 letter currency code and able to load up to 9 rate periods. Individually remove the rates periods as required.
  • Create optional meal-rates, transfer rates and seasonal supplements chargeable for adults and children separately. Create extra notes and load / update booking, payment and cancellation policies. Release can also be set for each rate period to work out cancellation due date.
  • Create Tour Op accounts for partner Tour operators, Travel agents and corporate accounts and assign rate tiers. Account details are sent to them by email with the login details. Suspend and cancel relation with the Tour Op account at any time. Suspending the Tour op. account will stop them from confirming new bookings.
  • Option to offer partners access only to the allotment and online booking management while rates and cancellation policies are agreed over a signed contract.
  • Relate with other 'open' Tour Op accounts and assign a rate tier to sell to a wider market. Open Tour Op accounts are owned by Tour operators and Travel agents who participate with RoomAllot freely to work with interested Suppliers.

Allotment management.

Suppliers can make changes to the allotment at any time - filling in empty periods or closing fully booked periods takes just a few seconds.

  • Manage multiple properties and/or room allotments with a single login. Multiple allotments can be used to offer different allotments to different groups of partners with varying rates and can assist in revenue management.
  • 365 days of allotment storage for each room category. View the entire allotment on a single screen for either all or single room category with color codes to identify '0' allotment periods and closed dates.
  • Allotment updates in real-time for single or all room types at once. ADD, REPLACE, REMOVE rooms, CLOSE periods to bring real-time allotment adjustments. Use of fly-open, clickable calendars when updating allotment.
  • Advance wait-list management. (Bookings wait-listed will hold rooms for available dates and will get confirmed automatically when the dates are available after allotment adjustments, cancellations or amendments.) Supplier can switch off 'automatic confirm' feature if required.
  • Set allotment cut-off date for different periods, separately for each room category.
  • Keep the allotment continuously filled 365 days with a given number of rooms separately for each room category.
  • Set minimum booking nights individually for each room type and for different periods.
  • Block bookings by customer segments. This feature can be used if the Supplier has exclusive contracts.
  • View history of allotment manual updates including the user involved. A simple report included in the standard report showing 'zero' and 'closed' number of days.
  • View in real-time and a history of who blocks and who books, making it easier to identify abuse and usage. RoomAllot blocks the rooms initially for a 20 minute period at the time of booking to give the partner time to fill in the details or book tickets etc.

Reservation management, search and reporting.

RoomAllot makes reservation management a very easy task and Suppliers have complete control over all their bookings.

  • Search for a single booking using the booking id and use of filters for advanced searches. Past 2 years of records are saved on the server for each account.
  • View, amend and cancel bookings with instant confirmation and the allotment will adjust automatically.
  • Acknowledge new, amended and cancelled bookings from the RoomAllot application or from the email that is received without logging in.
  • View a list of sortable wait-listed bookings, hand-pick and confirm them manually.
  • Summary of standard reports for a single account or all accounts (if accounts are grouped), showing daily, weekly, monthly and yearly arrival and departure lists.
  • Standard reports for In-house, Arrivals, Departures, Wait-listed and bookings waiting to be Acknowledged. Reports can be sorted as required and limited to a certain number of records per page. Customized reports using extended filters.
  • Booking history for each booking stored with a timestamp, on-going booking status and with the party involved. The contents of emails sent via RoomAllot are also stored in the history.
  • Add private notes with timestamp and user, to be shared and read among staff only.

Communication.

Effective and prompt communication support is a necessity for an application which involves real-time operations. Mass communication is equally important when managing hundreds of partners.

  • Emails are sent to the Supplier and partner Tour Op at the time of booking, wait-listing, acknowledgement, amendment, and cancellation.
  • Emails regarding booking issues can be sent out to the Tour Op directly from the booking view page, from the reports and from the search result pages. The email contents are stored on the booking history with the timestamp and user involved to be later viewed by the all parties involved.
  • Option to receive daily email reminders if there are bookings to acknowledge and if there are wait-listed bookings.
  • Send out marketing and sales information to partner Tour Op. groups categorized by rate tier or all user groups via broadcast email and include pictures, PDF, Word files as attachments if required.

Property facts and information.

Accurate information can save the Travel agent time, trouble and allow them to confidently sell the property. RoomAllot allow Hoteliers to update fact files, facility descriptions directly from their module.

  • Update property fact file and select to choose facilities and amenities available.
  • Add any number of facilities with descriptions and pictures.
  • Include an optional photo gallery.
  • Allow partners to view the information page from their module. The same information will be used by RoomAllot affiliated website to market the property.

Miscellaneous.

  • Adjust session length and automatic logout alert time.
  • Users can set an id alias to be used instead of the initial digit id given.
  • Update address and contact details of the Supplier.
  • Modify room category names and maximum occupancy online.
  • On-line help files.
